Altarum is seeking a Project & Administrative Assistant to work at our Ann Arbor, MI headquarters.  Altarum is a mid-sized, nonprofit government contractor focused on advancing public health and improving healthcare delivery.  We work for federal, state, philanthropic and commercial clients.  This position is to provide administrative support to our center directors of Altarum.  Altarum has 6 centers of excellence within the organization across multiple offices with around 250 staff.  You will use your organizational, administrative, creative and people skills to help implement strategies, represent Altarum professionally, create compelling presentations, take notes and track action items for workgroups of passionate thought leaders and executives, track progress in OneNote, Excel and customer relationship management tools, and other duties to support day-to-day operations and advance the mission of the organization.

  • Maintaining, organizing, and prioritizing calendars, contacts, and schedules for center leadership
  • Preparing various documents utilizing Word, Excel, Powerpoint, and Adobe
  • Proofreading drafts for spelling, grammar and layout, making appropriate changes
  • Coordinating arrangements for meetings, conferences and other group activities
  • Documenting the progress of 4 business development workgroups in OneNote
  • Supporting the coordination of activities and requests among organizational departments (e.g. between corporate departments like HR, Accounting, IT etc., and business unit staff)
  • Participating on proposal development teams by creating outlines, developing graphics, formatting resumes, drafting bio paragraphs, conducting outreach to potential partners, monitoring compliance with RFP requirements, etc.
  • Supporting various meetings by managing invites, guests, agendas, taking notes and tracking follow-up
  • Facilitate team meetings (including web/video), compile slides, schedule special presentations, etc.
  • Create and maintain SharePoint sites and Office365 groups
  • Occasional meeting scheduling assistance/Doodle Polls (general & project related) including regular all-hands and developer conferences
  • Back up client documentation processing and CRM data entry


  • Bachelor's degree preferred, plus a minimum of 3 years of administrative experience
  • Strong communication and facilitation skills, team focused mentality, and committed to continuous learning
  • Expert knowledge of Microsoft Word, OneNote, Adobe, PowerPoint and Excel
  • Creative, friendly, energetic, approachable and reliable
  • Strong note-taking, editing and proofreading skills
  • Detail oriented with excellent organizational, time-management, and interpersonal skills
  • Confident with can-do attitude and ability to work with a diverse workforce of professionals
  • Inquisitive and innovative, critical and analytical thinker, integrity in all that you do
