Overview

The Contracts & Procurement Coordinator is a part of the Contracts & Procurement Department under the Officer of the Chief Administrative Officer (OCAO) and will report to the Manager of Contracts & Procurement.  This position will be responsible for assisting the &P team by handling administrative tasks, as well as assisting with the development of and maintaining of processes and the compliance areas in which the C&P Department is responsible.  The C&P Coordinator will be able to work independently as well as within a team unit, be a self-starter, proactive and take initiative in order to ensure the C&P Department is organized and operates efficiently.  The C&P Coordinator will also work on tasks across the OCAO (with Legal & Compliance (and) Human Resources).

Responsibilities

  • Assist in maintaining and managing C&Ps Contract Management System (CMS)
  • Generate agreements using the CMS
  • Maintain C&P electronic and hard copy files as required
  • Assist in the development and continued maintenance of C&Ps SharePoint/Cloud site
  • Check work and complete checklist to ensure work accuracy
  • Perform complex data entry in various systems with a high level of accuracy
  • Ensure that all compliance programs related to C&P are managed properly
  • Assist in any projects in deadline-driven environment
  • Respond effectively to changing workloads and priorities
  • Arrange travel, complete expense reports for SVP OCAO, C&P Manager, and Director of Legal & Compliance
  • Support the C&P Manager and CAO on other administrative tasks as assigned.
  •  Backup/support to Procurement Specialist and other team members within OCAO
  • Lead and/or Assist in creating, completing, and implementing C&P Processes
  • Routinely assessing department workload to determine distribution or redistribution of assigned tasks in order to maintain a balanced workload across the department
  • Exercise initiative and judgment, and make decisions within assigned scope of responsibility.
  • Perform other duties as assigned

Qualifications

  • Strong MS Office Suite experience
  • Ability to learn new skills, programs, terminology easily
  • Strong written, oral and Interpersonal communication skills
  • Strong organizational skills, accuracy, and attention to detail 
  • Ability to support several simultaneous and ongoing tasks.  
  • Ability to take directions from more than one person;
  • Ability to work under pressure and successfully meet deadlines
  • Self-starter, ability to work individually or as a team
  • Ability to work cross functionally
